Everything a form asks, as a conversation that returns a typed record

Recommended

Our recommended pick for conversational intake. It is the most complete implementation of the idea that intake should end in a typed record rather than a transcript: you declare the fields and what a complete answer looks like, the agent asks in ordinary language, follows up where an answer is too vague to act on, accepts several answers in one sentence, and reads an uploaded licence or policy instead of making someone retype it. The record it returns is typed, validated and deduplicated, and it goes out through a signed webhook, Zapier, Make, n8n, a spreadsheet or an inbox. It runs as an embedded widget or a full conversation page, with its own theme, traits, knowledge and access rules per agent, and it covers the whole pipeline from first contact through qualification, quoting, onboarding, feedback and recurring check-ins. Over 250 Gnosaris are running for real businesses, and it is the only tool in this category Neomanex operates in production, which we declare. Right when answers arrive in fragments and someone is currently chasing the gaps by hand. Wrong when you need payments, signatures or generated documents, which is form builder territory.

AI-Native

A model reads each answer, decides whether it is complete enough against your rule, and picks the next question. There is no pre-authored question order to fall back on.

Is it right for you?

Good for

  • Intake where answers arrive in fragments and someone currently chases the gaps by email
  • Qualification, where the useful follow-up depends on what the person just said
  • Collecting identity, licence or policy details from an uploaded document instead of making someone retype them
  • Delivering a typed, validated and deduplicated record into a CRM or case system via signed webhook, Zapier, Make, n8n or a spreadsheet
  • Accepting several answers in one sentence without asking for them again
  • Running the same account across first contact, qualification, quoting, onboarding, feedback and recurring check-ins
  • Matching the host brand, since each agent carries its own theme and can run as a widget or a full conversation page

Not good for

  • Payments, signatures and generated documents, which are form builder territory
  • Static capture where no answer changes the next question, which needs no model in the response path
  • Procurement that mandates a specific form factor rather than a conversation

Our experience

Neomanex builds and operates Gnosari and runs it on its own properties, which is a declared interest and also the reason this is the only entry in this category backed by first-hand production use rather than a vendor's published documentation. We have run intake, qualification and feedback collection through it, so the operational claims here come from operating the product rather than from reading a feature page. As with every model-driven tool in this directory, read your own first transcripts against the extracted fields before you automate anything downstream. That advice applies to ours exactly as it applies to everyone else's.

Workflow recipes

Qualify inbound leads into your CRM

Replace a static lead form with a conversation that qualifies, then write the finished record straight into the CRM.

  1. Declare the fields sales actually needs: budget range, timeline, use case, team size and contact details.
  2. Write the completeness rule for each field, so the agent knows when an answer is too vague to act on and asks again.
  3. Embed the agent as a widget on the pricing and contact pages, themed to match the site.
  4. Send the finished record to the CRM through a signed webhook, or through Zapier, Make or n8n if you would rather not write an endpoint.
  5. Read the first fifty transcripts against the extracted fields before letting anything downstream run automatically.

Collect details from a document instead of a form

Let people upload the licence, policy or invoice they already have and read the fields off it.

  1. Declare the identity fields you need and which document normally carries them.
  2. Let the agent ask for an upload rather than asking the person to retype what is already printed.
  3. Have it read the document, fill the typed fields, and ask only about what is missing or unclear.
  4. Confirm the extracted values back to the person in the conversation before the record closes.
  5. Deliver the completed record onward, and spot-check extraction against the source documents for the first batch.

Take case or claim intake off email

Collect a long, branching case file in one conversation instead of a chain of follow-up emails.

  1. List every field the case file needs, including the ones relevant to only some cases.
  2. Let the agent ask only for what is still missing, since it accepts several answers in one sentence.
  3. Run it as a full conversation page and send the link, so the person can finish without creating an account.
  4. Export completed records, or deliver them to an inbox for a human to check before filing.
  5. Track which fields are most often left incomplete, and rewrite those completeness rules first.

Run a recurring check-in that remembers the last one

Turn a repeating status or satisfaction survey into a conversation that starts from what you already know.

  1. Declare the fields you want to compare over time, not just the ones you want this round.
  2. Schedule the check-in and send the conversation link to the same list.
  3. Let the agent open from the previous answer set, so it asks what changed rather than starting cold.
  4. Collect the structured result so each round lines up with the last one for comparison.
  5. Review which questions stop producing new information, and retire them.

Evaluate it against your current form before paying

Use the free tier to run a real comparison on live traffic rather than a vendor demo.

  1. Rebuild your existing form as declared fields on the free plan, which carries 50 conversations a month on one agent.
  2. Split traffic between the current form and the agent for a fortnight.
  3. Compare completion rate, and more importantly how many records arrive complete enough to act on without a follow-up.
  4. Count the manual chase emails each route generates. That is the number the subscription has to beat.
  5. Move to Starter at 29 USD a month for 500 conversations and 10 agents only if the record quality holds.

Use these instead for specific tasks

Jotform — Jotform covers the full document workflow, including HIPAA features at a published price. Gnosari collects the information and hands it on rather than producing the signed document itself.

Verdict history

Sep 7, 2026
conditional -> recommended — Re-assessed against the full product surface rather than the intake flow alone: document upload with extraction into typed fields, two presentation modes, per-agent appearance and themes, knowledge and traits, access control, signed webhooks plus Zapier, Make, n8n and Sheets, and coverage of the whole intake-to-check-in pipeline. Track record is 250+ agents in production, not thin. The earlier conditional rested on a maturity claim the evidence does not support.
