Privacy Policy
What personal data neomanex.com collects, why, who processes it, how long we keep it, and the rights you have over it.

This policy covers neomanex.com: the AI tool directory and news, the newsletter, Neomanex Learn (courses, the Inside Neomanex membership, certificates) and the checkout. It describes what the site actually does with your data today. We do not sell your data.
Who is responsible
Neomanex Limited, 51 Bracken Rd, Sandyford, Dublin, D18 CV48, Ireland, is the controller of the personal data described here.

At a glance
- Browsing: analytics events, your IP address and browser details, and a few cookies.
- Learn account: your email, your name if you give it, and your learning activity.
- Purchases: billing details and consent records. Card details go to Stripe, never to us.
- Optional: newsletter email, WhatsApp number for live-session reminders, chat messages.
- You can download your data and delete your account yourself, from your account settings.
What we collect
When you browse
Pages you view, the page you came from, the time, your IP address, browser and device type, and the language you use. Your IP address is also used to work out your country. If you arrive through one of our links or ads, we record the campaign it belongs to (UTM tags, link code and ad click identifiers such as fbclid).
When you create a Learn account
You sign in with a one-time link sent to your email, or with Google. We store your email address and, with Google, your Google account id, name and profile picture link. Sign-in links record the IP address that requested and used them. Your learning profile holds your language, time zone, role and goal if you set them, and whether you want marketing email.
When you learn
Your enrollments, lesson progress, bookmarks, notes, quiz answers and exercise submissions. Questions you ask the course tutor and exercises you submit are sent to our AI service to be answered or graded (see Automated decisions). Certificates carry a public verification code and show your name only if you chose to have it shown.
When you buy
Your email, whether you buy as a consumer or a business, your billing country and, for businesses, your VAT number. Stripe collects your name, billing address and payment details and passes your name, email and address back to us for the invoice. We record each consent you give at checkout (terms of sale and, for consumers, the request for immediate access), with the wording version, time, IP address, browser and language. If you buy a gift or team seats, we store the email addresses you enter for the recipients. If you buy without signing in, we create a Learn account for the email you used so you can reach what you bought.
Newsletter and waitlists
Your email address, where you signed up, and a consent record: the time, the version of the notice shown and your IP address. Newsletter signup is single opt-in. For a course waitlist we store your email, language and where you signed up.
WhatsApp reminders
After a purchase you can give us a WhatsApp number to be reminded before live sessions. We store the number, the wording you agreed to, the time and your IP address. If you message us through a WhatsApp link on the site, we receive your number and your messages through WhatsApp.
Chat on the contact page
The contact page loads a chat window from Gnosari, our AI agent platform. Anything you type there is processed by Gnosari to answer you and reach our team.
Connected tools
If you choose to connect ConvOps to import course workflows, we store the access tokens ConvOps issues, encrypted, and use them only to import the templates you ask for.
Why we use it, and on what legal basis
- To run your account, give you access to what you bought, track your progress and issue certificates: performance of our contract with you.
- To take payment, renew a membership, issue invoices and keep tax records: performance of the contract and our legal obligations.
- To record your consents and checkout confirmations as evidence: our legal obligations and our legitimate interest in proving what was agreed.
- To validate a business VAT number with the European Commission VIES service: our legal obligations.
- To send sign-in links, receipts and welcome emails: performance of the contract.
- To send the newsletter, marketing email and WhatsApp reminders: your consent, which you can withdraw at any time.
- To measure how the site is used, attribute purchases to the campaign that led to them and improve our offers: our legitimate interest in running and growing the site.
- To keep the site secure and prevent abuse, for example rate limits and sign-in protection: our legitimate interest.
Who processes it for us
These providers process personal data on our behalf, only for the purposes above:
- Google Cloud (United States): hosts the site and its database.
- Stripe: takes payments, stores your payment method for membership renewals and for offers you add in the same visit, and calculates tax.
- Resend (United States): delivers sign-in links, receipts and welcome emails, and stores newsletter subscribers as contacts.
- PostHog (European Union): product analytics on every page.
- NeoAnalytics: our own first-party analytics service, hosted on our infrastructure.
- Meta: the Meta Pixel on the membership and checkout pages (/join, /funnel, /learn/checkout) reports page views, checkouts and purchases so we can measure our ads. We may also send purchase events from our server, with your email address in hashed form, your IP address, browser and Meta click identifiers.
- Gnosari: our AI agent platform. Runs the contact page chat, answers tutor questions and grades exercises.
- OpenAI: turns the text you type into site search into a search vector. Searches are not stored with your identity.
- Google: sign-in with Google, and the small logo images in the directory, which your browser loads from Google.
- ConvOps: only if you connect it to import workflows.
The European Commission VIES service receives business VAT numbers for validation. WhatsApp (Meta) and Discord carry the messages and community you choose to use there, under their own privacy policies. We share data with authorities only when the law requires it.
International transfers
Our hosting is in the United States, and so are several of the providers above. Where personal data leaves the European Economic Area, we rely on the safeguards the GDPR provides for: the EU-US Data Privacy Framework for certified providers, or the European Commission standard contractual clauses. Email privacy@neomanex.com for a copy of the relevant safeguards.
How long we keep it
- Account and learning data: while your account exists. Deleting your account removes your profile, progress, notes, quiz answers and exercise submissions, and signs you out everywhere.
- Orders and invoices: for the period tax and accounting law requires, even after you delete your account.
- Consent records: kept as evidence of what was agreed. When you delete your account they are kept without your IP address.
- Certificates: if you chose to show your name, the certificate stays verifiable after you delete your account. Otherwise it is withdrawn.
- Sign-in links expire after 15 minutes. Login sessions last up to 30 days.
- Funnel visits and campaign attribution: 30 days, unless they lead to a purchase, in which case they stay with the order.
- Newsletter and WhatsApp opt-ins: until you unsubscribe or opt out.
- Analytics: for the retention period of each analytics service.
Your rights
Under the GDPR you can:
- Access your data and get a copy of it. Your account settings let you download your profile, consents, enrollments, progress and notes; email us for the rest.
- Correct data that is wrong or incomplete.
- Delete your data. Delete your account from your account settings, or email us.
- Restrict or object to processing based on our legitimate interests, including analytics and ad measurement.
- Receive your data in a portable, machine-readable format.
- Withdraw consent at any time, without affecting what we did before.
- Complain to a data protection authority. Our lead authority is the Irish Data Protection Commission; you can also contact the authority where you live.
To use any of these rights, email privacy@neomanex.com. We answer within one month. To leave the newsletter or stop WhatsApp reminders, email us or reply STOP on WhatsApp.
AI and automated decisions
Exercise submissions are graded by an AI model through Gnosari, and tutor answers are generated by AI. Grades only affect your course progress, never your access, payments or legal position. If you disagree with a grade, tell us and a person will review it. Do not put other people's personal data in tutor questions or submissions.
Children
The site is not intended for children under 16, and we do not knowingly collect their data. If you believe a child has given us personal data, email us and we will delete it.
Security
Data travels over encrypted connections. Sign-in uses one-time links or Google, so there is no password to steal. Session cookies are sealed, sign-in tokens are stored hashed, and connected-tool tokens are encrypted. No system is completely secure, and we will tell you and the authorities about a breach where the law requires it.
Changes to this policy
When the site starts handling data in a new way, we update this policy and the date at the top. If a change materially affects how we use data you already gave us, we tell account holders by email before it applies.
